
The first thing you need to think about is how many notebooks you need to create. Now what does this all mean when setting up OneNote. Pages can have subpages, which can be useful for optimising screen real estate, but essentially they can be treated the same as normal pages. Sections and Pages retain their order, so there is no need to number them. As build your data forest the best analogy is to think of Sections as leaves, Section Groups as branches and notebooks as trunks. You cannot nest sections, which means that this section always needs to be at the end of the hierarchy. Sections contain pages, where all data and information is stored. The final level in the hierarchy is the “Section”. Another characteristic of Section Groups is that they are automatically arranged in alphabetical order, so if you need to have control over Section Group order then it is a good idea to number your Section Groups. Section Groups cannot contain any data, you cannot add a page to a Section Group.

You can nest Section Groups to as many levels as you require. Within the notebook you create a hierarchical structure of “Section Groups”. A common mistake is to start with a single notebook, which can become unwieldy if you tend to embed a lot of attachments. Notebooks can be shared, synchronised and copied. Most new users develop a structure that seems to work for a while, only to find that they need to add new levels and change as more data is added.Īt the highest level you have the concept of a “Notebook”.


The OneNote structure imposes restrictions on the way that you can configure your notebooks. New users have to contend with the way OneNote structures its data. And you can’t use it effectively if you have no idea how to set it up. I could talk for hours about the potential uses for OneNote, but the best way to gain an understanding of the tool is to use it. Of course the OneNote tablet experience is exceptional, but even without the ability to ink OneNote is a powerful and indispensable tool. I have often heard people say that unless you have a tablet notebook that OneNote is useless. Now that OneNote ships with every copy of Microsoft Office 2010 I expect there will be a large number of potential new users who load the software for the first time, scratching their heads saying “What is the point?”.
